Documents to be produced when applying for a Schengen
business visa valid for Schengen countries:
Austria, Belgium, Denmark,
Finland, France,
Germany, Greece,
Iceland, Italy,
Luxembourg,
and with Belgium as the main destination
1) A valid passport: To be obtained from the local Public Security Bureau. The passport should remain valid at least 3 months after return. Please submit two photocopies of your complete passport (all the filled pages).
2) Two photocopies of the applicant’s identity card.
3) A visa application form signed and dated by the applicant. The form is to be completed in Dutch, French or English. A 2-inch photograph should be affixed. Please specify if a single/double/multiple entry* is requested. Please complete correctly items (24) number of entries requested, (25) duration of stay, and (28) previous stays in Schengen states.
*: Double/multiple entry is required in case the Schengen-area is
reentered after e.g. traveling to UK / Switzerland or any other non-Schengen country. If further applications
for other countries are to be made, the passport can stay in possession of the
applicant until the day preceding the date of issue
4) An original
invitation letter from the inviting company in Belgium, mentioning the name,
profession and passport number of the person(s) invited, the purpose and
duration of the visit, by who the traveling and lodging expenses will be borne,
telephone/ fax number/ address / e-mail address of the
inviting company in Belgium, name, position and signature of the inviting
business connection.
5) An official
letter in English, French or Dutch from the work unit in China stating that the
company agrees that the visa-applicant goes on a business trip to Belgium. The
letter should mention the position/occupation, passport number of the
applicant(s), duration and specific business purpose of the
visit, by who the traveling and lodging expenses will be borne. The
recommendation letter should bear the official heading of the company mentioning
its name / address / telephone/ fax number/ e-mail address. It should also have
the official stamp of the company and the name, position and signature of the
responsible.
6) A photocopy of the business license of the work unit in China of the
applicant and a translation in English, French or Dutch of this document.
7) Proof of
sufficient solvency (bank statement / deposit o.o.) by the applicant’s company
in China. (in case all/ some of the expenses are NOT borne by the inviting
company).
8) Depending on
circumstances, other documents, such as return tickets, hotel reservation
a.s.o. may be demanded.
Note: All
documents (except those under 1, 2) have to be produced in one original and one photocopy.
You should submit all the
required documents listed above in
person Monday through Thursday from 9:30 till 12:00 AM.
Visas can be picked up Monday through Friday from 14:00 till 16:30 PM.

Your business visa does
NOT confer an absolute right to stay in the Schengen area. You may be required
to prove your personal means of subsistence and/or the genuine nature of your
business contact upon arrival at your Schengen port of entry.
